How to Configure Firewall Port & Security Settings for QuickBooks

, ,

The entire mechanism of the Firewall port assignments for QuickBooks is different in QuickBooks Desktop 2019. The new version uses a dynamic port assignment instead of a static one.

For years QuickBooks had been using an algorithm for firewall port assignments when QuickBooks is run on a multi-user mode that incremented the port assignments within a wide-range of ports available for Windows firewall.

In some ensuing years, there were port conflicts between QuickBooks and Microsoft Operating System. There were other services that could interfere with QuickBooks network operations by making use of the identical ports resulting in an unexpected shut-down of the computer hosting QuickBooks.

To reduce the potential clash, Intuit has changed the way it allocates firewall ports starting QuickBooks 2019 edition. It has moved to allocate ports dynamically to ensure port exclusivity by selecting only unused ports for QuickBooks during installation and operations.

Steps for Configure QuickBooks Firewall Port Assignments

The port format for QuickBooks Desktop for the newer 2019 version will be 2019, XXXXX where XXXXX represents the port number specifically assigned for QuickBooks.

For this, a new ‘Port Monitor’ tab has been added to the QuickBooks Database Server Manager.

Now During the installation of the QuickBooks Database Server for hosting company files, an appropriate port gets allocated dynamically.

Note: Although, there may be different versions of QuickBooks running on different desktops that are listed within the Port Monitor tab with each one having their appropriate versions of QuickBooks Database Server QuickBooks users will now have access to the most current version of the QuickBooks Database Server Manager.

The new ‘Manager’ utility will list the ‘beginning port’ of the applicable port range for each older version of QuickBooks.

When the QuickBooks Database Server Manager scans the various Windows folders that contain QuickBooks Company files, and the network descriptor .QBW.nd  file is created, there will be a new Server Port assignment written into the .QBW.nd file.

This will help the QuickBooks application on the client side to seek access to QuickBooks Database Server on the designated host computer with the help of specifically assigned ‘Port Number.’

Intuit Has Provided A Way To Re-Assign Or ‘Renew’ The Port Assignment

If a previous port assignment gets conflicted with later windows updates or other software port usage clash.

It’s important that while re-assigning or ‘Renewing’ port assignment is a must to update all of the respective .QBW.nd files.

  • Go to QuickBooks Database Server Manager > Choose Scan Folders tab and re-scan the folders again
  • Ensure that the Port Number in the ‘Port Monitor’ tab QuickBooks 2019 matches the ‘Server Port’ number in the .QBW.nd files. Else, QuickBooks won’t operate properly in a networked environment

While scanning older QuickBooks Desktop files by QuickBooks Database Server Manager conflict may arise.

While the ‘Server Port’ entry in .QBW .nd files are the ‘Port Number’ for the QuickBooks version reported in the ‘Port Monitor’ in the QuickBooks Database Server Manager utility, QuickBooks may still fail to access the appropriate QuickBooks Database Server due to the limitation of the port assignment.
